What is Mimecast?

Mimecast is our new spam scanning and security service that will protect our email.  We will be scanning all emails, internal, inbound, and outbound.  This service is replacing our existing service spamaway.  We will be retiring the name spamaway and future references to spam filtering will be our new partner, Mimecast.

What's Changing?

Less spam and more security, for one!  For the other 95% of email you send and receive, nothing will change.

If you used the spamaway web service to manage your blocked/allowed senders or release spam messages, there's a new way to do that.  See the question below on how to manage your senders in Mimecast.

Another change to be aware of is how you tell us a message is spam.  See the next question on how to do that.

How do I mark messages as Spam?

In the past, every email had a link in it, allowing you to mark the message as spam.  Moving forward, you simply have to move the message into your Junk Folder and we'll take care of it from there.  Every 4 hours, we'll scan your Junk Folder and send any messages you've sent there to Mimecast.

!!! Moving a message to the Junk folder DOES NOT block that sender from sending to you.  To Block a sender, please log in to your Mimecast personal portal and block the sender.  Please see this question for more details.

I keep getting an email from Mimecast letting me know of held messages.  What is that?

Twice a day, you'll receive an email from Mimecast letting you know of any held messages you've received recently.  This is a quick way to release those messages without having to log into your personal portal.  If you're on the lookout for an email though, logging in to the portal is the quickest way to release a held message.

How do I get to the Mimecast Personal Portal to release held messages, block senders, allow senders?

We've got a link to the portal on our Apps page at https://go.npgco.com

Here's a video from Cierra Murphy to show you how

I'm in the portal.  How do I use it?

Cierra has put together a short video on how to use the portal, please take a look at it here

Messages seem to take longer now that we've turned on Mimecast.  What gives?

Mimecast has a 120-second delivery guarantee (and most messages are processed in under 60 seconds).  This is an industry-standard metric that all commercial spam filters try to hit. Because of that, you will probably feel like emails are taking longer to receive.  While this is technically true - the delay is worth it.  Here are just a few of the things that Mimecast does to each and every one of your emails:

  • Scans every email for virus/malware through 7 (yes, 7!) anti-virus software vendors.
  • Checks for impersonation attacks, making sure someone isn't trying to send mail as you
  • Executes every attachment to ensure it doesn't launch any hidden malware (much like our new endpoint protection, Carbon Black)
  • Rewrites every link in an email to make sure when you click on it, you aren't sent to website with a virus
