Sharing Files with NextCloud

Sharing in the Web Interface

1. Log into the web interface at https://files.YOUR-PRIMARY-DOMAIN.com 

2. Click on the share icon next to the file or folder you would like to share.

Sharing Directly with an NPG Employee

2. In the search bar type the first and last name of the person you'd like to share with, and then select their name from the dropdown menu. It may take a moment to find the employee. Once you have selected the employee, they will receive an email informing them of the share.

3. After selecting the person you want to share with, you can then edit the permissions that the person has to the folder. These permissions may differ when sharing a folder versus sharing a file.

Let's take a look at these options.

  • Can reshare: Allows the person to share this file or folder with someone else.
  • Can create: Allows the person to create their own files or folders within the shared folder.
  • Can change: Allows the person to change the name of the folder, or its contents.
  • Can delete: Allows the person to delete the file or folder.
  • Set expiration date: You can use this to set a date to have the share expire, removing access for the person on that date. 
  • Note to recipient: Sends a message to the person you have shared the file or folder with.
  • Unshare: Removes the share from this person.

 

Sharing Directly with a Non Employee

1. Rather than typing in the name of the person you want to share with, you will instead type their email address. 

2. Select the option that has the envelope icon to share with this email address. See below.

3. Set sharing options for this file or folder.

You'll notice that sharing options differ from sharing with an employee. 

  • File drop (upload only): This option allows the person you've shared with to upload files to this folder. 
  • Password protect: Allows you to set a password to access the share.

When sharing with external clients you should always use a password!

 

Sharing From Local NextCloud Install

This is very similar to the above steps but can be done from the file on your computer. 

1. Right click on the file or folder you would like to share.

2. Select NextCloud > Share...

3. The steps to share with a person are the same as listed above.
