NextCloud Introduction
NextCloud is a cloud storage solution similar to Dropbox, Google Drive, or Microsoft OneDrive, except it is hosted and managed locally at NPG. The primary use of NextCloud is to allow users to backup and sync local files without having to utilize a network share which would be unavailable while off the NPG network. Another major feature is that all files synced with NextCloud are backed up and recoverable. The file transfer is both secure and fully encrypted.
Say an employee needs access to a file while off of the NPG network. If that file is synced with NextCloud it is easily retrieved from any computer or mobile device that has an internet connection through the NextCloud web interface.
Another common use case for NextCloud is to share files with external users, such as clients or vendors, without giving those users direct access to the NPG network.

Employee Usage
NPG supports the use of NextCloud on company provided equipment, and on personal mobile devices with supported operating systems. Although IT will not directly install NextCloud on employee personal computers, it is allowed and documentation will be provided for employees to complete the install themselves.
Any local files that an employee would like to have backed up should be done so with NextCloud. Local files that are not being synced with NextCloud are not considered to be backed up or recoverable.
Sharing Files
When sharing files or folders with other employees it is recommended to share between NextCloud accounts directly, rather than sending a link.
Sharing files using a direct link should be reserved for non-employees (clients, vendors, etc) who may need access to NPG files. When sharing with external users it is important to use links that are password protected. The use of public, non-password protected, links is prohibited.

Storage Quota
All users start with a default quota of 20 gb. This can be increased as needed.
File Retention
All files deleted from the NextCloud sync are held in the server for 90 days before permanent deletion. This allows the quick recovery of files that may have been accidentally deleted. Aside from this, the entire NextCloud server is backed up nightly. The nightly backups have a 14 day retention.
Other Cloud Storage Software
NextCloud is the only supported cloud storage software here at NPG, and it should replace any instance of Dropbox, Google Drive, One Drive, or similar software that is currently in use. NextCloud should also be the only cloud storage software used for work purposes.
